Overview
In this article, we will guide you through the process of configuring Maintenance settings in the Wrkspot web app.
Pre checks
Make sure you possess the necessary permissions to manage Maintenance settings in the Wrkspot web app; otherwise, you won't be able to modify any maintenance-related configurations.
- Go to Settings > Maintenance > Work Order.
- Click on the Edit icon located at the top right corner.
- Choose your preferred work order strategy, either "Pooling" or "Default Assignee."
- For Pooling: All maintenance employees will receive notifications, and anyone can take and assign the task to themselves.
- For Default Assignee: The work order will automatically be assigned to a specific person whose name is pre-selected in the settings whenever a new work order is created.
- If you want to implement an aging process for work orders, select "Yes"; otherwise, choose "No."
- Configure the number of days for work orders in different priority levels, such as from low to medium and from medium to high. Once a created work order surpasses these specified limits, it will be considered in the respective priority category
Note: If you opt for "Yes," you'll be prompted to configure the Days of aging (Low to medium and medium to high) to effectively monitor the age of your work orders.
- Click on Save.
Under the Maintenance > notification tab, the user can configure the notifications for the work orders.
Notifications & descriptions
1. When the work order is assigned to an employee:
The employee to whom the work order is assigned.
2. When any high-priority work order is unassigned:
The previously assigned employee of the high-priority work order.
3. When a work order is moved to ON HOLD:
Recipients can be specified as either individual employees or based on roles.
4. When the work order is created:
The supervisor and site admin.
5. When the work order’s priority is changed:
Recipients can be specified as either individual employees or based on roles.
To configure specific positions and employees to receive alerts, follow these steps:
- Navigate to Settings > Maintenance > Notifications.
- Click on the dropdown corresponding to the notification for which you want to make changes.

If the notification is enabled, you will find two dropdowns under that notification:
- Position.
- Employees.
- Click on the "Positions" dropdown and select the positions for which you would like to receive alerts.
- Next, click on the "Employees" dropdown and select the specific employees within those positions who should receive alerts.
